Title: SALES ASSISTANT
Summary:

The Sales Assistant will provide support to the Travel Consultants in sales, administration, and document preparation.

Responsibilities and Accountabilities

• Provide sales support and back-up to Travel Consultants. Provide telephone coverage as needed (vacation, meetings, training, etc)
• Follow up with guests/Travel Agents on additional services requested and communicate with the DMC
• Create proposals from itinerary outline as provided from DMCs utilizing itinerary “blocks.” Ensure that inclusions/exclusions accurately reflect terms for all destinations included in the proposal, as well as any special terms.
• Format, proofread, and send out proposals per Tour Consultants request
• Create blocks for unique products, excursions and destinations utilizing a variety of research and marketing materials (i.e. Internet, Travel Guides, Brochures, etc) with final approval by the Senior Consultants
• Enter all guest profile and itinerary information in Travel Studio including but not limited to passport, health and flight information
• Verify all flight details are correctly coordinated with land services booked. Pro-actively identify gaps in services as a result of flight information received and seek solution.
• Ensure that booking financials are balanced and all extra services are paid in full prior to releasing final documents
• Call guest/Travel Agent to collect missing information and itinerary details
• Prepare personalized final itinerary including flight schedule for delivery 35 days prior to departure
• Assist Guest Relations when post tour issues require investigation into historical documentation
• Front Desk coverage as needed
• Special projects or other related duties as required
• Develop knowledge, skills and abilities in the areas of: 
          o Proper telephone etiquette and sales techniques
          o Writing skills
          o Accounting and costing protocol and procedures
          o Global geography
          o A&K DMCs and Third Party Suppliers

Education and Experience

• Travel School or college degree preferred
• High School diploma required
• Relevant travel industry experience preferred

Skill and Abilities

• Strong multi-tasking skills and flexibility required
• Detail oriented with excellent organizational skills
• Accuracy with data entry required
• Ability to work in a team environment
• Ability to work independently and within specified deadlines
• Excellent verbal/written communication skills and phone demeanour
• Intermediate computer skills required (Microsoft Office) and ability to quickly master new technologies
• Basic Sabre skills preferred
• Knowledge of Internet search engines
• Must read/write/speak English

Special Requirements

• Evening, weekend and approved overtime may be required
